Returns and Refund Policy

At Cool Kaftan, we want you to be completely satisfied with your purchase. Please contact us if there is a problem with your order and we will do our best to resolve it fairly and promptly.

Nothing in this policy limits or removes your statutory consumer rights.

1. Changing Your Mind

For most products purchased through our website, you may cancel your order without giving a reason.

You must notify us that you wish to cancel within 14 days of the day on which you receive your order.

After notifying us, you must return the goods within a further 14 days.

To request a return, email coolkaftan@gmail.com and include:

  • Your name.

  • Your order number.

  • The product you wish to return.

  • The reason for the return, although you are not legally required to provide one for a standard cancellation.

Please wait for our return instructions before posting the item. Do not send a return to our registered office unless we have confirmed that it is the correct return address.

2. Condition of Returned Items

You may inspect and try on an item in the same way that you would reasonably be permitted to do in a shop.

Returned clothing should, wherever possible:

  • Be unworn other than briefly tried on.

  • Be unwashed and unaltered.

  • Have its original tags attached.

  • Be returned with its original packaging where reasonably possible.

  • Be free from stains, makeup, perfume, deodorant, smoke, strong odours, pet hair or other signs of use.

  • Not have been damaged while in your possession.

We may reduce a refund where an item has lost value because it has been handled or used beyond what was reasonably necessary to inspect it.

We do not charge an automatic restocking fee. Any deduction will reflect the actual reduction in the item’s value.

3. Return Postage

For a change-of-mind return, you are responsible for the cost of returning the item to us unless we have agreed otherwise.

We strongly recommend using a tracked or recorded delivery service and keeping your proof of postage. You remain responsible for the returned parcel until it reaches us.

If an item is faulty, damaged, materially different from its description or sent to you incorrectly, we will cover reasonable return costs or provide another suitable return method.

4. Refunds

Once we receive and inspect your return, we will notify you of the outcome.

Approved refunds will be made to the original payment method. We will process the refund without undue delay and normally within 14 days of receiving the returned goods or receiving acceptable evidence that they have been sent back, whichever occurs first.

Your bank or payment provider may take additional time to show the refund in your account.

Where you cancel the whole order, we will also refund the cost of our least expensive standard delivery option. Any extra amount paid for express, premium or upgraded delivery is not refundable unless the order was faulty, incorrect or otherwise not supplied properly.

Original delivery charges are not normally refunded where only part of an order is returned and the original delivery charge would have been the same for the items kept.

5. Faulty, Damaged or Incorrect Items

Please inspect your order after delivery and contact us as soon as reasonably possible if an item:

  • Is faulty.

  • Arrives damaged.

  • Is materially different from its description.

  • Is not the item you ordered.

  • Is missing from your parcel.

Please provide your order number and, where reasonably possible, photographs showing the issue and the packaging. Photographs help us investigate the problem but do not remove your statutory rights.

Depending on the circumstances, we may offer:

  • A full or partial refund.

  • A replacement.

  • A repair, where appropriate.

  • Reimbursement of reasonable return-postage costs.

Minor variations in colour, pattern placement, stitching, measurements or appearance may occur because of screen settings, photography and normal manufacturing tolerances. Such variations will not necessarily mean that an item is faulty or materially misdescribed.

6. Items That Cannot Normally Be Returned

The change-of-mind cancellation right may not apply to:

  • Products made or personalised specifically for you.

  • Sealed goods that are unsuitable for return for health or hygiene reasons once the seal has been broken.

  • Items that have been altered at your request.

  • Other goods excluded from cancellation rights by applicable law.

This does not affect your rights where an excluded item is faulty, damaged or incorrectly described.

7. Sale and Promotional Items

Sale and promotional items have the same statutory rights as full-price items.

Unless expressly stated otherwise before purchase, eligible sale items may also be returned under our standard change-of-mind procedure.

8. Exchanges

Where stock is available, we may be able to arrange an exchange.

The quickest option may be to return the original item for a refund and place a new order. Any exchange is subject to availability and may require payment or refund of a price difference.

9. Refused and Undeliverable Parcels

If a parcel is refused, unclaimed or returned because an incomplete or incorrect address was supplied, we may deduct reasonable delivery or return costs from the refund where legally permitted.

We will contact you after the parcel has been returned to us.

10. International Returns

Customers returning goods from outside the United Kingdom are responsible for return postage for change-of-mind returns.

Please clearly mark the customs declaration as “Returned Goods” and include the original order information where possible. We are not responsible for customs charges caused by an incorrectly completed return declaration.

Import duties, taxes or customs fees paid to a local authority may not be refundable by Cool Kaftan. You may need to apply directly to the relevant customs authority.

Mandatory consumer rights in your country or region will continue to apply where applicable.
